As an exhibitor at VIV Asia, this is your go-to resource for all essential information to make your participation seamless and successful. Here, you’ll find detailed guidance on every aspect of your preparation.

EXHIBITOR PORTAL

The Exhibitor Portal is your central hub for preparing your participation at VIV Asia 2027. It serves as the online exhibitor manual and gives you access to the tools and information needed before the show.

Through the portal, you can:

  • Access the Webshops to order graphics, additional services such as furniture, audiovisual equipment and electricity
  • Access VISIT Connect to manage exhibitor badges and invite customers to visit your booth
  • Review own stand construction requirements, submission procedures, rules and regulations
  • Add and authorize colleagues or stand contractors to manage specific preparation tasks

STAND CON­STRUC­TION

All stand designs must comply with the official VIV Asia Technical Regulations. We strongly recommend sharing these regulations with your stand contractor to ensure full compliance and avoid delays or additional costs during build-up.

Stand design plans must be submitted for approval no later than 20 January 2027.

For your convenience, we provided a list of recommended and approved stand contractors. You are, however, free to appoint your own contractor.

Move in/construction:

  • 6 March: 12:00 – 22:00 (Rigging and cranes only)
  • 7 March: 08:00 – 22:00
  • 8 March: 08:00 – 22:00
  • 9 March: 08:00 – 22:00

Furnishing day for exhibitors with a VIV Stand Construction Package:

  • 9 March: 10:00 – 22:00

Move-out / Dismantling:

  • 12 March: 18:00 – 24:00
  • 13 March: 08:00 – 22:00

Important for exhibitors with a VIV Stand Construction Package:

Exhibitors using a VIV Stand Construction Package must start clearing their stand immediately when the exhibition closes at 18:00 on 12 March. All personal belongings, exhibits, promotional materials and waste must be removed from the stand between 18:00 and 22:00 on the same evening.

Please do not leave any items on your stand for collection at a later time. All items must be removed by 22:00. Any items left behind after 22:00 will be removed by the organiser and may be disposed of. Should excessive materials or waste be left behind, the organiser reserves the right to recover the associated removal and disposal costs from the exhibitor.

RE­GIS­TRA­TION & ACCESS

EXHIBITOR REGISTRATION OPENING HOURS

  • 8 March: 12:00 – 17:00
  • 9 March: 09:00 – 17:00

CONTRACTOR WRISTBAND COLLECTION (for contractors only)

All contractors involved in stand construction and dismantling must collect their wristband from the Security Counter located in the loading areas of Challenger Halls 1-3 and Halls 5-7 before entering the exhibition halls.

The same wristband must also be worn during the dismantling period.

SECURITY COUNTER OPENING HOURS

  • 6-9 March: 08:00 – 18:00

EXHIBITOR BADGES

The main contact for your participation will automatically be added to the VISIT Connect event platform and will receive an email invitation to activate their
account.

Once the account has been activated, the main contact can register stand staff via the Team tab by selecting Add Staff. If the main contact will also be attending the exhibition, they must add themselves as a team member to receive their own personal QR code.

Each registered team member will receive a confirmation email containing their personal QR code. We recommend downloading the VISIT Connect app before arriving at the venue. Through the app, you can access your QR code and view a preview of your badge.

All exhibitors are required to collect their printed exhibitor badge from the Exhibitor Registration Counter by presenting their personal QR code.

VNU Exhibitions Europe does not authorize third-party invoicing and does not work with directory companies such as FairGuide or ExpoGuide.
